
Purpose

The primary purpose of the Library's reading rooms is to provide study and research space for University students, staff, and faculty. Fourth floor reading room (KAML 460) is available for uses compatible with the educational, research, informational, and cultural missions of the University and reservations require an active university affiliation and a chartfield string. Events are usually free of charge and open to both the University community and the general public. Availability will be restricted during fall and spring academic sessions to limit the impact on students. Specifically, events will not be scheduled in the 4th floor Rotunda Reading Room the week before and during finals weeks.

Capacity
The minimum use capacity for the Rotunda is 30 people*. The building code limits the capacity of this room to 100 people. Capacity will be limited to 75 with minimal food service. *An alternative location for events with fewer than 30 people is KAML 409 (seminar setup/seats 20). This is a general classroom and may be scheduled by contacting [email protected].
Scheduling
Submit reservation requests well in advance of your event for the 4th floor Rotunda, at least four weeks in advance, please. You must submit a separate reservation request for each use of the room that you wish to schedule. Your request will be reviewed, and notification returned within two business days.
Fees
The Library does not charge rental fees for use of the Rotunda. However, there is an $85 room use fee from Facilities Management, with an additional $50 charge for events when food is served.
Equipment and Extra Furnishings
Facilities Management employees are the only people authorized to move the furniture in the Rotunda. Once a reservation request has been approved and the room is scheduled, the Library will contact the FM Special Events Coordinator. Room arrangements specified on the reservation form will be forwarded to FM. If you have any questions or changes, please contact FM at [email protected] or call 218-726-8865. A confirmed Rotunda reservation does not guarantee that Facilities Management will be able to accommodate your request.
Food and Beverages
Food and beverages are allowed in the Rotunda only. Capacity will be limited to 75 with minimal food service. There will be no red beverages provided by Food Services for any event held in the Rotunda. There will be an additional $50 charge from Facilities for events requiring food service. All food must stay within the Rotunda, no meals or banquets allowed.
Catering arrangements are the responsibility of the individual or group hosting the event, not the Library. Requests for catering should be sent to Catering Services at 218-726-7177 or [email protected]. A confirmed Rotunda reservation does not guarantee that Catering Services will be able to accommodate your request.
University policy (Serving Food or Refreshments on University Property) requires that food shall be prepared and/or provided by UMD Catering Services OR a licensed commercial food service and have the approval of the UMD Environmental Health and Safety Office at least five business days before the event.
Publicity
Library staff may contact the person indicated as the publicity coordinator for your event for information which may be posted to the Library's website and digital sign to inform staff and patrons of events in the Rotunda. Promotional materials for the event may also be requested.
